At the beginning of any project, it is vitally important that everyone involved be on the same page and agree on the end goal. When you are talking about a big IT outsourcing project that will depend on outsourced software engineers, thorough project requirement capture can make or break the project.

To keep projects on track from the get-go, India Partner #10 has developed a highly involved project requirement capture process that they call Rapid Application Development. The focus is on capturing all information needed for the project in a series of face-to-face meetings; they work with a point person at the company, typically someone in senior leadership, to keep the process moving along.

The process begins with visits to individual sites. A project manager from India Partner #10 meets with all stakeholders at each site to get the information needed for the project. This information is translated into statements that include explicit and implicit needs, nice-to-haves and non-technical requirements.

Requirements from each site are then collated into one document and distributed to everyone with the request that each requirement be prioritized. (This process typically takes around 3 months.)

Once feedback is received, the India Partner #10 team includes any additional technical requirements they think will add value to the IT outsourcing project.

At this point, India Partner #10 asks a lead from every site to attend a meeting in person. At this meeting, which can last an entire day or several days, the group goes through estimating, order entry, scheduling/tracking, building, invoicing, and legacy activities. The plan is placed on a wall, and after much back and forth, final functionality is agreed upon.

The project can then be handed over to the engineering team in India to implement. The project is overseen by the project manager who met with the company. As the repository of knowledge for the project, this person can ensure that all of the company’s needs are included.

As India Partner #10 has found, clients absolutely need this help in clarifying project requirements. Because someone at India Partner #10 meets with everyone, they end up learning the best practices of every department. As they learn about the client, they share that knowledge with other departments. It turns into a win-win: the company gets the IT outsourcing project outcome they want while learning a great deal about their own company.
